  • Bank details (for payments)

Media production data

As part of our creative work:

  • Photos and video footage of people, including young people under 18 (only where you — the client — have responsibility for obtaining consent)

  • Testimonials, social media content, and recognisable brands (where you provide legal clearance)

We do not collect consents on your behalf unless agreed otherwise — it’s the client’s responsibility to handle participant permissions.
 

2. How we use your data

We use your personal information to:

  • Deliver and administer projects, contracts and communications

  • Process payments and financial records

  • Maintain client relationships, invoicing and bookkeeping

  • Run marketing campaigns (email, Meta/Instagram/LinkedIn ads, printed leaflets/brochures)

  • Improve our website and services through analytics (only if you choose to accept cookies)
     

3. Legal basis for processing

Under UK GDPR, we rely on:

  • Contractual necessity (to provide services and billing)

  • Legitimate interests (business administration, marketing, analytics) where such use doesn’t override your rights

  • Legal obligation (HMRC accounting and retention rules)

We only share personal data when necessary, including with:

  • Freelancers working on your project (bound by confidentiality agreements)

  • Payment processors and accountancy/bookkeeping services

  • Storage and tech providers we use (Google Workspace, Dropbox, Firebase, Canva, Monzo Business)

We do not sell or commercially trade your personal data.

Your personal data is stored and processed in secure systems, including:

  • Google Workspace (Gmail, Drive)

  • Dropbox

  • Firebase (via Google)

  • Canva

  • Local encrypted password-protected storage

  • Our financial apps (e.g., Monzo Business)
     

We implement appropriate technical and organisational measures to protect data from unauthorised access or loss.
 

6. Cookies and website analytics

Our website may use cookies and analytics tools (e.g., built-in Wix analytics or Google Analytics) only with your consent. These help us understand how the website is used and improve performance. You can opt in or out via the cookie banner.
 

7. How long we keep your data

  • Client records are retained in line with HMRC requirements (typically 6+ years).

  • Media assets and archives are retained while we have an active contract or relationship with you. After the contract ends, you can request deletion of your data/footage.

Under UK GDPR you have the right to:

  • Access your personal data

  • Correct inaccurate data

  • Request deletion or restriction of processing

  • Object to certain processing (e.g., marketing)

  • Data portability (where applicable)

9. Children and consent

For media involving young people under 18, you the client confirm that appropriate consent/permissions have been obtained and that individuals (or their guardians) understand how the content may be used. Lens & Launch is not responsible for obtaining third-party consents unless otherwise agreed in writing.
 

10. Changes to this policy

We may update this Privacy Policy to reflect changes in our services, legal requirements or tools we use. We’ll publish the updated version here with an updated “Last updated” date.
